Corporate email for Registro Nacional: what ACE is and which address to register

Costa Rican commercial companies must have an email address for judicial and administrative notifications. The Registro Nacional also announced the Electronic Email Self-Management System, ACE, so the registered legal representative can manage that address online.

You can use a free webmail address, but it is worth deciding which mailbox your company will keep on file for years. An address such as notifications@yourcompany.com belongs to the company domain — not to a partner’s, manager’s, or employee’s personal account.

ACE registration is a Registro Nacional procedure. CR Servers does not file it for you. Our role is simpler: professional email on your own domain so the company keeps an address it can control no matter who is on the team.

What ACE is

ACE means Sistema de Autogestión de Correos Electrónicos and is part of the Registro Nacional’s online services.

According to the Registro Nacional, as of 20 September 2026 registered and current legal representatives can use the system to add, change, or correct the email used for judicial and administrative notifications. Access requires a certified digital signature.

The system shows the companies for which the person has current representation and generates an electronic sworn statement to sign digitally. When finished, it provides a receipt for the filing.

ACE is a Registro Nacional tool. It does not belong to CR Servers, and you do not need a CR Servers service to use it.

Who must register an email

The obligation for commercial companies covers, among others, the most common forms in Costa Rica:

• sociedad anónima (corporation);
• sociedad de responsabilidad limitada (limited liability company);
• sociedad en nombre colectivo;
• sociedad en comandita simple.

Directive DPJ-002-2026 also sets rules and exceptions for other legal entities. For example, civil companies, EIRLs, associations under Law 218, and foundations under Law 5338 are not treated the same under this regime.

If your structure is different, or you are unsure whether the obligation applies, confirm with the Registro Nacional or your notary / legal counsel.

Deadlines

The current framework includes a period in which ACE filings are exempt from stamps, fees, taxes, registry charges, and other fiscal burdens through 3 December 2027. Publication of an edict is also waived for ACE requests in that window.

From 4 December 2027, registering or changing the email must pay the applicable charges. The traditional notarial path remains available.

New companies must also include an email in their incorporation process. Before filing documents, confirm current requirements with the Registro Nacional or your notary.

Why use email on the company domain?

Registering company@gmail.com can solve the short-term need, but it mixes the company identity with an account on an outside platform — often tied to one person.

An address such as notifications@yourcompany.com or admin@yourcompany.com has a practical advantage: it belongs to the company domain.

If the manager, accountant, or person who checks notifications changes, you do not need to change the public company address. You update credentials, access, or mailbox owners and keep the same address.

It is also clearer for clients and suppliers. The domain identifies the company immediately.

That domain is also the name clients and the Registro see. It should be the company’s name, not a person’s.

That does not give domain email special legal status versus Gmail. The advantage is administrative: control, continuity, and company identity.

Use an address someone will actually check

More important than the provider is that the mailbox works and someone is responsible for reading it.

The address on file with the Registro is one address. Behind it, several people can receive the same mail — an email group to the manager and the accountant, for example. Changing who reads it does not require a new filing.

If you will register an address for company notifications:

• use an account the company keeps access to;
• avoid depending only on one employee’s or partner’s personal email;
• keep credentials and recovery methods under company control;
• decide who must check the mailbox;
• renew the domain and mail service on time.

A professional address nobody reads does not solve the problem.

How to prepare

In practice:

First, decide the address the company will keep. If you use your own domain, create the mailbox and confirm you can send and receive.

Second, the registered and current legal representative can enter ACE with a certified digital signature and complete the filing.

Third, after registration, keep that mailbox active and monitored. If you change the address later, update the Registro Nacional record as well.

A small decision worth getting right

The email you register for the company may follow it for years. You do not need a complicated stack — you need a stable address under company control that someone reads.
