If your company still sends from @gmail.com or @outlook.com, clients notice. A mailbox on your domain (you@yourcompany.com) signals a real operation — and you keep the inbox when someone leaves the team.
This guide is for operators and small businesses that want email on their domain, with DNS explained at a useful altitude and a clear buy path. It is not a line-by-line zone file tutorial.
➡️ Digital Presence — domain, email, and hosting · $89/yr
Why domain email matters
| Situation | Generic @gmail | Email on your domain |
|---|---|---|
| First impression | Personal inbox | Company channel |
| Staff turnover | Beg for mailbox access | You own the account |
| Invoices and contracts | Mixed with personal mail | Clean professional thread |
| Growth | Hard to add sales@ / support@ |
Add mailboxes on the same domain |
Email does not replace good service. It is the signature that travels with every reply.
MX and DNS (high level)
When someone writes to you@yourcompany.com, the internet checks your domain’s MX records: “which mail server should accept this?”
Simple stack:
- Domain — you are the registrant.
- DNS — nameservers or records that point mail (and web).
- MX — authorized mail hosts.
- Mailboxes — accounts you create and manage.
When hosting and email sit with the same provider, MX and web files usually share one panel. When a foreign site builder holds the site and another vendor holds mail (“split stack”), the first delivery failure becomes a finger-pointing exercise.
If you host with CR Servers, nameservers are typically ns1–ns3.crservers.net (confirm in your panel at activation). Domain background: domain registration in Costa Rica.
Why same-provider hosting helps
| Topic | Split stack | Same provider (CR Servers) |
|---|---|---|
| MX debugging | Two panels, two clocks | One team |
| Invoicing | Multiple vendors / currencies | Local electronic invoice where the SKU includes it |
| Support | Builder chatbot | San José team, bilingual |
| Growth | Blind export later | Same ladder toward VPS |
You do not need to trash foreign builders. Many customers keep the site where it is and only move mail. When you want one invoice and one support line, domain + email + hosting in a single package is the shortcut.
Digital Presence: the $89 path
CR Servers’ yearly pack for this job:
Domain, business email, and hosting — one charge, team in San José.
Digital Presence is the money page for that pack. If you already own the domain and only need to compare hosting tiers / mailbox counts: web hosting.
Product deep-dive (different angle): Digital presence in Costa Rica.
Typical steps (email first)
- Register or transfer the domain you will put in your signature.
- Activate a plan that includes mailboxes (Digital Presence or a web hosting tier).
- Create
you@,info@, or role addresses — stop “temporarily” signing with Gmail. - Point MX / nameservers per the panel (or ask support when migrating).
- Test send/receive before you reprint cards or change forms.
Can I keep Gmail and only mask the domain?
Some forwards fake the From line. You still depend on an inbox you do not fully control. Real ownership means the mailbox lives on your domain.
Do you issue Costa Rican electronic invoices?
Yes, on the local checkout flow for products that include it.
Is support in San José?
Yes — team in San José, bilingual.
