Add a Signature in Webmail
Add or change the signature that webmail (Roundcube) puts at the end of your messages, with your name, role, phone and website.
A signature is the block of text at the end of each message you send, such as your name, role, phone, and website. In webmail, it's saved per identity (the "From" address), so every mailbox has its own.
The signature is stored in webmail only. If you also use Outlook, Apple Mail, or a phone app, set the signature in each one too.
Add or change your signature
- Log in to webmail with your full email address and mailbox password.
- Click Settings (gear icon).
- Open Identities, then click your email address.
- In Signature, type or paste your signature.
- Click Save.
Compose a new message to check it: the signature appears at the bottom.
Formatting and images
- To use bold, links, or a logo, turn on the HTML signature option (the editor icon above the signature box).
- Use a logo that's hosted on your website (for example
https://yourdomain.com/images/logo.png) rather than a pasted image. Pasted images often show up as attachments or get blocked. - Keep it short: name, role, company, phone, website. Large images and long legal text make messages look like spam.
Signature placement on replies
Under Settings → Preferences → Composing Messages, you can choose to add the signature to replies and forwards, and whether it goes above or below the quoted text.
Several addresses in one mailbox
If you send as more than one address from the same mailbox, each identity can have its own signature. Pick the identity in the From field when you write; webmail swaps the signature to match.
